• Account & Profile Information: Business name, account owner name, corporate email address, contact phone number, encrypted password credentials, and account settings.
• WhatsApp Business Credentials & Asset Identifiers: WhatsApp Business Account IDs (WABA ID), Phone Number IDs, connected business phone numbers, system access tokens, and webhook event metadata required for official Meta Graph API connectivity.
• Message & Communication Data: Inbound and outbound WhatsApp messages, multimedia attachments (images, audio, documents), message status callbacks (sent, delivered, read), chat timestamps, and multi-agent assignment logs.
• Customer & Lead Management Information: Customer contact names, phone numbers, custom labels, lead stage status, canned reply configurations, order notes, and product catalog inquiry logs provided by your authorized users.
• Technical & Log Data: Internet Protocol (IP) address, browser type and version, operating system details, access timestamps, error logs, and session interaction metrics collected for operational security and performance monitoring.

3. WhatsApp Business Platform Integration

FlashSync AI enables authorized business customers to connect supported WhatsApp Business assets to the platform. When a business authorizes the integration, FlashSync AI may process information made available through the WhatsApp Business Platform APIs as necessary to provide the features requested by that business.

Depending on the enabled features, this may include information necessary for:

• Sending and receiving business messages
• Managing customer conversations
• Processing authorized WhatsApp Business account information
• Managing messaging-related business assets where authorized
• Supporting message templates where applicable

Access and processing are limited to functionality implemented by the application and authorized by the business customer.

FlashSync AI incorporates artificial intelligence and automated language models to process customer conversations, generate real-time reply suggestions, summarize chat histories, and execute configured automated workflows.

• AI processing is conducted exclusively to perform the automation tasks configured by the business tenant.
• Conversation context and prompts are transmitted securely via encrypted API endpoints to specialized AI processing engine providers.
• Your customer conversation data is not used to train public foundation AI models or shared across distinct business accounts.

5. How We Use Information

We process collected information for legitimate SaaS operational purposes:

• Provisioning, maintaining, and managing your FlashSync AI account and dashboard access.
• Routing WhatsApp messages to live agents and executing automated conversation workflows.
• Enabling lead tagging, order status updates, and customer relationship analytics.
• Sending critical transactional alerts, system updates, and administrative notices.
• Detecting, preventing, and mitigating security threats, unauthorized access, and fraud.

• Meta Platforms, Inc. / WhatsApp LLC: To transmit messages and manage WhatsApp Business assets via Graph API integrations.
• Infrastructure & Cloud Providers: Secure database and hosting providers operating server facilities required for platform uptime.
• AI Service Providers: Specialized language processing providers bound by strict confidentiality to handle automated conversation drafting.
• Legal Authorities: When required by a binding legal order, subpoena, or enforceable governmental demand under applicable law.

7. Data Storage and Security

We implement commercial administrative, technical, and physical safeguards designed to protect your data against unauthorized access, loss, alteration, or disclosure. These measures include:
